Dr. Hu reviewed all the services the SSC offers both virtually and on campus via power point. Chancellor COVID-19 Update
ASG Elections Feb. 21st—Please be sure to get an ASG application in to Nakia
before the deadline if you’re interested (the officer job duties are listed below, and reps have been emailed)
Let emphasize the way the app flow is supposed to work (reps send events to officers to post, and officer forward to Nakia or Clay)
Give committee update (2 committees not meeting, see below) and let Professional Oath Committee know Dr. Gittens and Dr. Milner will meet with them when we dismiss.

Chancellor Cam Patterson and Vice Chancellor Stephanie Gardner COVID-19 Update (review the highlighted areas and Dr. Sterba will chime in as well, see below) COVID-19 positive cases in Arkansas has steadily increased over the past two weeks. We have also seen an increase in the number of quarantined (and COVID positive) members of Team UAMS.
At the start of 2022 Dr. Gardner notified students 1/1/22 of the move to remote delivery of didactic coursework until Jan. 18. Admin will reassess as we get closer to mid-month, and hopefully will be able to return to campus for all activities. Please meet remotely whenever possible.
Your mask should be close fitting, covering the nose and mouth. If you’re not wearing an N95, be sure to wear a cloth mask over the regular mask as advised. Clinical and experiential activities for students will continue as usual unless notified otherwise by your faculty/dean.
Our library and study spaces on campus will remain open to students.
It is critical that you wear a facemask at all times over your mouth and nose while on campus. Omicron is much more easily transmissible.
Many of the exposures seen are happening when staff and students are congregating together for meals or break times while not wearing masks.
If eating and drinking, please remove the facemask for that period only and ensure that you are appropriately distanced from others.
UAMS is temporarily closing the UAMS Fitness Center as well as the hospital and Cancer Institute Gift Shops. Fitness Center members will not be charged membership fees for the month of January. We are also removing tables and chairs from UAMS eateries to encourage everyone to take their food back to their desks to eat. Please be careful to protect yourself and help protect those on our campus who are most vulnerable.
Thanks to the deployment of 12 National Guard members to UAMS, we are expanding drive-thru COVID-19 testing hours on our Little Rock campus to 7:30 a.m. to 5:30 p.m. seven days a week. We are extremely fortunate to have the assistance of the Guard.
Governor Hutchinson joined me today at our drive-thru triage-testing center to express our great thanks for their service.

Clay Tyler Student Center Manager
Clay Tyler is the new Student Center Manager. Clay took the place of Vanessa Lewis and will be in charge of registered student organizations, intramurals, student center events and activities.
Mande Corbett Stocked and Reddie Update
The pantry is open Mondays 2:00 p.m. to 8:00 p.m. and Thursdays noon to 6:00 p.m. You must be an ACH employee or UAMS employee, student, resident, or intern to join Stocked & Reddie, but that is the only requirement. Mande also mention students can still volunteer at this time and gave a virtual tour of the facility.
Odette Woods DDEI Event Updates
Odette discussed the upcoming Martin Luther King virtual celebration and Veteran virtual webinar events. See attached flyers.

Nakia Dedner Koru Mindfulness Classes
Upcoming Virtual Events
The Koru Mindfulness course includes a 75 minute group session each week for 4 weeks with a class size of up to 15 students. During each session, participants are taught Mindfulness skills,
and participate in group discussions. Participants are expected to practice Mindfulness meditation for 10 minutes a day. Koru Mindfulness also has a free app that can be downloaded to register for a course, communicate with the instructor, and also use it to practice Mindfulness
skills. At the completion of the Course, you will get a more in depth knowledge of Mindfulness – learn Mindfulness skills, and more importantly be able to practice and apply Mindfulness in your daily life.
All Classes will be held via ZOOM. The instructor will send the Zoom link to registered participants before the start of the course.

UAMS Associated Student Government Officer Duties
The duties of the President are to:
Preside at all meetings of the ASG and student health insurance
Officially represent the student body of UAMS
Notify the Secretary concerning special policy decisions to establish the next meeting agenda
Appoint any committees necessary to conduct the functions of the ASG
Notify Student Activities Assistant Director of issues and concerns
Submit a proposed budget plan at the beginning of term
Propose activities and events for all students
Participate in student orientations and registrations
Assist with student events and door check-in’s

The duties of the Vice- President are to:

An additional thought, having a “standard” email set up for people to submit app postings…something like AppPosting@uams.edu that would allow all of us to log in to and allow us one place to find all of the requests rather than having them spread out amongst the different reps.

Nov. 4, 2021 | UAMS has updated the special events policy regarding all UAMS affiliated events on and off campus. Please see the new policy below or on the Special Events Request Form. If you have any questions regarding events please email events@uams.edu.
Due to the pandemic the events policy is evolving to reflect how we, as a healthcare institution, are operating at this time. It is important that our UAMS events and activities set a good example to the public, so please consider the following when planning your event.
Inside Events, whether on or off campus:
The “in-person” audience is limited to UAMS staff and students but exceptions can be made and are considered on a case-by-case basis.
Face masks must be worn at all times except when eating.
We are currently operating at 100% capacity at on-campus venues except when food is served.
If food is to be served, you need to book a location that accommodates 3 feet of social distancing per person. Meaning if food is served your room/venue capacity should not exceed 50% of the total capacity to allow for social distancing while masks are off. ReserveRoom@uams.edu can help you find a space that is accommodating for your group on campus.
While eating and masks are off, all attendees must be 3 feet apart.
Refreshments may be served. Please consider grab-and-go options, individually
packaged meals or you may hire internal catering staff to serve the food. If you order external catering, it is recommended to designate several staff members (masked and gloved) to serve food for the duration of the event. Inside events that are at a restaurant or have food for purchase of some kind are also allowed. Hand-sanitizer stations must be available at the entrances to the food service line.
UAMS sponsored meetings and events off campus must follow the same guidelines on food, masking and social distancing unless the event is outside.
Outside Events, Off Campus:
Masks are required for unvaccinated individuals and recommended (but not required) for vaccinated individuals. It is up to each individual to follow masking requirements as vaccination status cannot be assessed.
Masks are still required (regardless of vaccination status) for any indoor components such as bathrooms or other enclosed spaces.

The meeting started out with an introduction of officers and new members. Now that we have all representatives, we need to figure out who will be on what committee. There are 3 options community service, professional oath, and virtual events/app committee.
Professional Oath Committee- Dr. Laura Guidry-Grimes- project we were asked to participate in that provides a tailored updated oath to the traditional professional oaths that we take either during graduation or white coat ceremonies.
Community Service Committee- Coordinate and be involved in different community service opportunities, these are likely going to be limited at this time due to covid, but one of our main focuses will likely be supporting the campus food pantry.
Virtual Events/ App Committee- ideas and coordinating virtual events and maintaining the campus life application.
Seigen Cotton Apptegy Training
She gave a brief overview of the app and how it’s used. Informed students on how to find current events, navigate between places etc. Showed officers how to update and add events to the calendar.
Cheri Goforth-Warmack Food Pantry Update
The Stocked and Ready Food Pantry is open from 2-8pm on Wednesday and 2-6 pm on Thursday. The pantry is located at 401 South Monroe Street. There is a need for more student volunteers.

Community Service Committee

  1. The committee decided for starters they would start as a group volunteering at UAMS Stocked and Reddie since students are somewhat restricted due to Covid-19 event guidelines. At this time UAMS CAN ONLY ALLOW VOLUNTEERS that are ACH & UAMS employees, UAMS
    students, residents, interns, & FAMILY OF Team UAMS & ACH employees.
    The committee will also request ASG as a whole to volunteer as well. A post will go out on the app today.
  2. It is the hope of the committee that volunteering can be done at the Arkansas Food Bank and Habitat for Humanity in the Spring 2022 or when Covid-19 event guidelines are relaxed. The community service committee aims to offer a variety of CS events so all students are able and allowed to serve in some capacity.
  3. Samuel Cloyd will coordinate the next steps on volunteering and preparation with the Arkansas Food Bank since a date must be selected first. Nakia Dedner will put in event forms for Arkansas Food Bank and Habitat for Humanity as well notify Dr. Sterba of tentative events.

  4. All events are virtual as of now. For events on campus, an approved event
    form is required. The committee discussed creating a template/google doc to send information in for suggested events. The committee also discussed
    creating an interactive map to help students navigate throughout the campus.
    It was also observed the calendar feature on the UAMS app is underused, so we need to put more focus on it. The Hello Fresh event was a success. There was a proposal to do this event again if possible.

Michelle Zengulis is the new Title IX/ADA Coordinator as of June 2021. She’s located on the 2nd floor of the library. If accommodations are needed please feel free to contact her.
Dr. Laura Guidry-Grimes Professional Oath Project (see email)
Questions & Answers
Dr. Laura Guidry-Grimes is an assistant professor here on campus in the College of Medical Humanities and Bioethics. The idea of the professional oath derived through her interaction with DDEI. She shared an NPR article that University of Pittsburg did to address issues of racial
justice in their revamped Hippocratic Oath. This is a pledge for a level of professionalism the students of Pitt believed was appropriate for the 21st Century. As suggested by Dr. Brian Gittens, Dr. Laura Guidry-Grimes would like to work with ASG to create a preamble to the colleges existing professional oaths. This oath would be read before each college Hippocratic
Oath/Specialty Oaths. Each college can adjust the preamble to fit its specialty area, however ASG will create the wording. The hope is to build off the DDEI Diversity Pledge ASG created in 2020. Janice Nottenkamper Student Financial Services Update
SFS has moved from Admin. West to CHP Building 6A (across from the PA classrooms). It’s badge access. Right now Zoom meetings are offered for budget planning. However, face-to-face appointments are available as well. FASFA deadlines: Fall–May 15th, Spring– Oct. 15th
.
Summer– March 15th. Oct. 1st of each year is when FASFA opens. Janice advises on not being caught up in ‘the good college life”. There is 120-day deadline within receiving loans. This means you can return funds you do not plan to use. Check out the form at

Responsibilities, App post and Event Participation
Kyle gave an overview of the responsibilities below and reiterated the work flow of the student app.
ASG Representatives are expected to:
Attend all ASG monthly meetings (will be held virtually)
Report pertinent information back to respected colleges and assigned
officers (see Article Section 1 of constitution)
Lead by example by following all student compliancy guidelines in an
timely fashion
Participate in student initiatives sponsored by ASG and encourage others
to participate as well
Uphold the student Code of Conduct on and off campus
Post student events on student event app (this is the new platform for
announcing events). We have to get students excited about using it. Thus
far I’ve had to continue to push out email reminders to check the app. We
would like reps to send officers info to post onto App about
organizations and upcoming events. (Reps send info and officers post)
Any excused meeting must be submitted in written format to the ASG
secretary, Kiwanna Norwood and Nakia Dedner prior to meeting time
Before the end of term, representative must explain duties to incoming
representatives
Representatives not meeting expectations are reported to their college
dean and discharged from the ASG. Please inform us asap if you cannot
meet the above guidelines

Critically reflect on the history, values, and meaning behind professional oaths
Engage in contemporary discussions about developments in professional identity within particular health professions
Bring campus leaders, faculty, and students together to discuss professional identity and values
Endorse commitments to diversity, equity, and inclusion in the oath-taking process
Proposal Outline

Identify professional oaths within each college/program, as well as when each is recited by students at UAMS.

Work with ASG (perhaps ad hoc committee) to develop preamble for all professional oaths that
includes explicit commitment to diversity, equity, and inclusion.
a. Second phase to ASG’s 2020 Diversity and Inclusion Statement
b. Include members of DDEI, DMHB, other faculty and deans across the campus in drafting process
c. In subsequent years, ASG could review prior year’s preamble and initiate any revisions (with assistance from DDEI and DMHB) as part of their annual resolution.

Draft schedule over academic year
a. Early in Fall term, have an orientation meeting with interested members of AGS, DDEI, and DMHB to discuss the historical contexts and ongoing discussions about oaths in the health professions.

APPTEGY App Training
Monday’s meeting was dedicated to app training with Seigen. She went through the layout and asked about any changes to be made. The Office of the Registrar, Student Financial Services and Student Wellness leaders were present as well. They wanted to listen in on ideas ASG may have on making pages more user friendly.
The Loblolly event lasted until Friday, April 2nd until Tuesday, April 5th. Easter weekend was a huge utilization period. ASG reserved 200 coupons for students to use with their families and friends. Hopefully we will offer a summer deal since it worked out so well.
Lastly, the Apptegy group will need to bounce some things off the new officers over the summer. Officers will need to check email periodically just in case Nakia need to reach out

Graduation Fee reduced from $90 to $50, if you have been charged they are working on refunds.
Payment plans – can sign up for… available until 30 days from 1st day of semester classes. No late fees due to COVID.
Financial Aid: Interested in Summer Aid? – Can request from financial aid office to add to summer budget starting March 1st – form on website to fill out – send to financial aid office via email. Must have enrollment prior to them being able to process form – must be part-time student.
Complete FAFSA by May 15th – priority deadline for Fall 2021.

Nakia asked that whenever we are doing community service/student life events
that we take pics/selfies/etc. (masked up of course) to show that student life is
still happening in a safe way. And it just helps publicize that ASG student life is
still involved in campus affairs
We have a link from Stocked and Reddie program that will allow us to sign up for volunteer opportunities, Nakia will send out. They need all the help they can get. February 16th is our scheduled day, but we can go whenever.
This semester we decided not to offer community clean up with the city of LR due to poor turnout at previous events. This was previously offered as an IPE activity last semester.
We had a good turnout at AR Foodbank and they really appreciated us coming
and we are welcome back whenever. Call to schedule a bigger group, but if it’s
just a few people then you can just walk in.

Currently scheduled for February 18th. We are waiting on paperwork to be finalized to proceed with gathering names, addresses etc. It may have to be pushed back again or be cancelled if paperwork can’t be finalized.
Drive-Thru Movie
We are thinking a weekend in April, maybe Saturday or Sunday evening. Allison will create a poll to decide movie choice once a location has been decided. We are asking War Memorial if we could use their parking lot to set up the theater.
Painting with a Twist
If Hello Fresh falls through, we are thinking of moving PWAT up to February. We will start with ~40 painting kits.
Loblolly Event
We will have to ask UAMS/Loblolly if they could provide a voucher for free scoop of ice cream. If the vouchers would not work, we could do a drive thru area near the residence hall to pick up a scoop of ice cream. For vouchers, we would hope to disperse in late February for use till the end of March. If we had the event, we would pick a date in March.

Investigating the possibility of an app (Apptegy) for students for communication purposes. The NW campus has done a pilot trial of the app. If you have any feedback or ideas, please reach out to her.
Breakout Rooms
Students broke out into community service with Nakia and events committee with Vanessa to discuss upcoming events.
Events Committee:
HelloFresh Virtual Cooking- Allison sent emails about potential
vendors and will continue to reach out about this. We will look at
doing this in February.
Cookies Event- Vanessa has an already approved vendor for
cookies. This vendor could virtually show students how to
cook/decorate them. Looking at the 1st week of December for this
event. 6 cookies/box, 50 boxes.
Drive-Thru Movie- MP Outdoor Cinema. We have to get them
approved as a vendor. $20-$30 per car. Looking at a Thursday
through Sunday option.
Spring Gala- if we can’t have the big event another option is an
event at War memorial with cornhole, DJ
Painting with a Twist- if other events fall through, we may look at
doing this again in the spring.
Grab and Go- please advertise this. Student Center Nov.19th 11-1.
Community Service
Committee discussed 2 possible community projects;
Arkansas Food Bank and UAMS Stocked and Reddie work
days
Farhan Kawsar will contact AR Food Bank for details to work
the week of January 25th –February 6th
Alice Gardner will send out a Doddle Poll for committee to

However, committee voted on working the week February
15th-26th.
These will be the 2 projects for the spring semester 2021.
